Message Executive SPAM Rules determine which messages should be classified as SPAM based on their content, the person they came from, or the domain they came from.

SPAM Rules are processed on your Inbox and can be used in various combinations with each other. Rejection conditions can be used in conjunction with Acceptance conditions. For more information on SPAM rules please refer to the help file.

For example you can specify reject content such as "financing" to eliminate SPAM messages that offer "get rich quick schemes", however you may want to accept senders such as "jsmith@cibc.com" since this person may be your bank manager with whom you communicate via email. This means that messages that have "financing" in the subject line or message body that come from "jsmith@cibc.com" will not be considered SPAM since they come from an accepted sender.

Treat all incoming e-mail as SPAM

Turning this option on will tell Message Executive that any e-mail received by you that does not fit the Accept Domains criteria or Accept Sender criteria should be considered SPAM.  This can be useful if you want to specify who can send you e-mail.  All other messages that do not match the domain or sender criteria will be automatically moved to junk mail.

If no return address is available, consider it to be SPAM.

This option is useful in preventing those unwanted messages that do not contain an email address for the sender.  If there is no return email address, quite often you can anticipate that the e-mail is SPAM.  Turning this option on will move messages without sender e-mail addresses into the Junk Mail folder.

Once the messages are in the "Junk Mail" folder, automatically move them to the "Deleted Items" folder after [ ] [days/hours].

This setting is used to specify how old messages have to be before they are moved from the Junk Mail folder into the Deleted Items folder.  This give you the opportunity to quickly review messages in Junk Mail before having them moved to Deleted Items.  If you would like messages to be moved directly into Deleted Items you can specify 0 days or 0 hours, however you may want to consider at least giving yourself sometime to review suspected SPAM before deleting it to be sure that you're not deleting something important.

Reject Content Tab

Content rejection can assist you in removing unwanted e-mails that uses
offensive terminology in their messages. Profanity and vulgar text can be
specified as rejected content and any message that contain any words or
phrases you have specified will be treated as SPAM.

Content (word or phrases)

The content window shows you the list of words or phrases you consider to be SPAM.  Often you receive SPAM that has catchy phrases or inappropriate text in the message subject or body.  For example:  "Financial Freedom".

The three buttons on this tab (Add, Remove and Modify) allow you to add words or phrases, delete them or modify them as you see fit.

Reject Domains Tab

Rejecting domains can be an effective method of eliminating those messages coming from users sending from domains that allow SPAM-ming. Often a large portion of SPAM can be eliminated by specifying domains such as aol, yahoo, hotmail etc...

Domains

Often you will find that particular e-mail domains allow their users to send SPAM.  Often by blocking the entire domain can greatly reduce the need to continually specify Rejected Senders.  For example:  often an unknown person will set up an AOL.com account and then use it to send out SPAM.  In a situation like this it is easier to block the domain aol.com and specify on the "Accept Sender" tab only those email addresses from aol.com that you would like to still receive messages from.

The three buttons on this tab (Add, Remove and Modify) allow you to add domains, remove domains or modify domains.  *Note:  You can also use the "*" symbol to specify all child domains.  (a child domain is a sub domain of an existing one...for example in the domain na.aol.com, "na" is a child domain of aol.com.  If you specify *.aol.com then any domains that have aol.com in the domain name will be rejected and considered SPAM

Reject Senders Tab

The reject senders can come in handy when you receive messages from a particular sender on a regular basis and despite the request to be removed from their mailing list, you continue to receive messages from them any way.

E-mail Addresses

The E-mail Addresses window displays the just rejected senders list.  You can Add, Remove or Modify addresses in this list using the corresponding buttons on the right hand side of the window.

Accept Domains Tab

Using Accept Domains can help when you've specified specific content be rejected and yet you have particular messages from particular domains that you would still like to receive messages from any way.

Domains

The domain window displays a list of domains that will always be accepted.  This is useful if you have specified on the "Main" tab to treat all incoming e-mail as SPAM or if you have specific companies that you deal with and only those companies, and therefore you want to ensure that you always accept messages from them and they are never treated as SPAM.

You can Add, Remove and Modify this list using the corresponding buttons on the right hand side of the window.

Accept Senders Tab

Accepting messages from particular senders can be very useful if you have specified other rejection criteria that may cause messages from particular senders to be rejected.  For example friends you have that use aol, yahoo or hotmail.

Senders

The senders window displays a list of people that you want to ensure you always receive email from.  For example if you have specified that under Reject Domains, anything coming from "@aol.com" is to be considered SPAM, but you have a friend with an aol e-mail account, you can put their specific address in the "Accept Senders" list and they will be considered an exception to the domain rejection rule.

To Add, Remove or Modify the e-mail addresses in the sender list, use the corresponding buttons.

*Note: Accept Rules will always override Reject Rules.  Anytime you specify something in Accept it will always take precedence.  Therefore if you specify "@aol.com" in the Reject Domains but also specify "@aol.com" in the Accept Domains list, then the messages coming from "aol.com" will always be accepted.
